What was once a paper-heavy, queue-intensive process is now conducted primarily online β€” faster, more transparent, and more secure than the previous system. Yet many buyers and sellers still approach it with uncertainty. This post walks you through the current NTSA transfer process step by step so you know exactly what to expect.


Why Completing the Transfer Promptly Matters

Before the procedural steps, understand why this matters urgently. Until the ownership transfer is completed in the NTSA system, the vehicle remains legally registered to the previous owner. If the vehicle is involved in an accident, incurs traffic fines, or is impounded during this period, the legal complications fall on the registered owner β€” not necessarily the physical buyer. Complete the transfer immediately after purchase. Do not drive a vehicle for weeks registered in someone else’s name.


What You Need Before Starting

From the seller: The original logbook β€” the vehicle registration certificate β€” which the seller must surrender as part of the transfer. The seller’s National ID or Passport. The seller’s KRA PIN. The seller’s NTSA account access or willingness to initiate the transfer process on their side.

Step 3 β€” Payment of transfer fee. The transfer fee is paid through the eCitizen payment gateway β€” M-Pesa, bank transfer, or card payment. Retain the payment confirmation receipt.

Step 4 β€” NTSA processes the transfer. NTSA processes the transfer and updates the vehicle record in their system. Processing time varies β€” in straightforward cases it can be same-day or within 24 hours. In cases requiring additional verification, processing may take several working days.

Step 5 β€” New logbook issued. A new logbook reflecting the buyer’s details as the registered owner is generated by NTSA. The logbook can be collected from the NTSA office or in some cases delivered through the post.


Common Issues That Delay Transfers

Outstanding fines or penalties: If the vehicle has unpaid traffic fines or other outstanding penalties on the NTSA system, the transfer will be blocked until these are cleared. Check for outstanding issues on the NTSA portal before initiating the transfer.

A seller who is uncooperative, unavailable, or unwilling to initiate their side of the transfer creates a deadlock. Ensure the seller’s cooperation is confirmed before completing payment.
